Information we may receive

  • Name, company, role and contact details
  • Travel dates, routes, passenger and luggage requirements
  • Flight, train, hotel, venue, FBO or event information supplied for the requested service
  • Billing and contractual information where a quotation or booking proceeds
  • Technical security information routinely processed by the hosting infrastructure

Purposes and legal bases

Information is processed to respond to enquiries and prepare quotations or take pre-contractual steps requested by the enquirer (Article 6(1)(b) GDPR); deliver and administer confirmed services (Article 6(1)(b)); meet tax, accounting and other legal obligations (Article 6(1)(c)); and protect website, communications and operational security and establish or defend legal claims where necessary (Article 6(1)(f)).

Horizon’s legitimate interests are maintaining secure and reliable business operations, preventing abuse and managing service-related claims. Consent is used only where the law specifically requires it.

Source and necessity of information

Information is normally supplied directly by the enquirer, client, passenger, authorised assistant, agency, event organiser, aviation handler or security contact. Providing contact and itinerary information is voluntary, but Horizon may be unable to answer, quote or operate a requested service without the details reasonably necessary for it.

Recipients, confidentiality and international operations

Information is shared only where reasonably necessary with authorised Horizon personnel, professional advisers, hosting and communications providers, and selected transport, aviation, event or security partners involved in the requested assignment. Operational personnel are required to treat assignment information as confidential and are instructed not to take photographs or videos of clients, passengers or service activity.

Horizon does not publish client identities, event or journey details, photographs, videos or case studies as promotional content. Operational confidentiality applies before, during and after the service, subject to disclosures required by law or reasonably necessary to establish, exercise or defend legal claims.

Some technology or assignment providers may process information outside the European Economic Area. Where required, Horizon relies on an applicable adequacy decision, standard contractual clauses or another lawful GDPR transfer mechanism. Information about the safeguard relevant to a specific transfer may be requested from the controller using the contact details above. Please avoid sending unnecessary sensitive information by ordinary email.

Retention

Unsuccessful or inactive enquiry records are ordinarily retained for up to 24 months from the last meaningful contact, unless a shorter period is appropriate or longer retention is necessary for a dispute or legal claim. Contractual, billing and accounting records are ordinarily retained for 10 years, subject to applicable Italian law. Security information is retained only for the period reasonably required to prevent or investigate abuse.

Your rights

Subject to applicable law, individuals may request access, correction, deletion, restriction, portability or objection and may withdraw consent where processing relies on consent. Requests can be sent to the email above and are handled within the time limits established by applicable law. Individuals may also lodge a complaint with the Italian Data Protection Authority (Garante per la protezione dei dati personali, garanteprivacy.it) or another competent supervisory authority.
